Executive Assistant to the Managing Director

An exciting opportunity has arisen to join Allam Marine, an award-winning manufacturer and supplier of power generation machinery, components and control systems.

You will be joining the business at an exciting time in the development of the company, with ambitious plans for growth and a number of interesting upcoming projects. This role is pivotal to our success; we are looking for an experienced executive assistant who can provide efficient, accurate and engaged support to our Managing Director, who takes a very active, hands-on leadership position at the head of the business.

Although office-based at Allam Marine, some flexibility around travel and working hours to accommodate international business may be required from time-to-time. The ideal candidate will be someone who is used to working for high profile individuals, with the discretion and professionalism expected at this level.

You will be assisting with core business activities, as well as duties relating to wider business interests and personal arrangements for the Managing Director.

Job Description


Your key direct responsibilities will include:

- Email management, including prioritising and filing correspondence
- Managing complex diary and schedule
- Preparing meeting agendas, collate documents, minute taking, and follow up on action items
- Processing expenses and supporting administrative tasks
- Support the MD with administrative tasks for several personal businesses
- Travel Arrangements for both business and personal trips.

Person Specification


If you’re the right person for this role, you’ll be smartly presented, reliable and passionate about doing things properly.

You will have a proven track record of performing as a PA or Executive Assistant Central to this role are excellent communication skills, a friendly demeaner and the ability to multitask effectively.

Discretion is important for this role as you may have access to sensitive business information. The right candidate will;

Have the ability to thrive in a close-knit business environment, adapt easily, and maintain composure under pressure
Be able to problem solve in a fast-moving environment, A natural communicator who blends professionalism with enthusiasm and charm in every interaction

Essential:


- Minimum of 3 years’ experience in a corporate environment, with proven experience supporting busy MD/CEO
- Strong ability to build trust and relationships with Directors and team members
- Excellent organisational, communication, planning, and attention-to-detail skills
- Proven ability to manage calendars, meeting logistics, and maintain confidentiality
- Highly organised and detail oriented with a proactive workstyle
- Proficiency in Office 365 (Outlook, Excel, Word, SharePoint, PowerPoint).Experience supporting senior leadership and board-level executives
- Maintaining strict confidentiality of sensitive information and discussions
- Full and clean driving license required

Desirable:

Knowledge of accounts software packages (Eg. Sage)

Competitive – dependent on experience.
